- Why PDFs work: Tangible, shareable, printable—clients can see their trip
- Whitelabel options: Full rebrand (your logo only) or co-branded (acknowledgment of ground operator)
- Content structure: Overview → Day-by-day → Inclusions → Pricing → Next steps
- Visual impact: One hero image per destination, consistent formatting throughout
- Call to action: Always end with clear next step and deadline if applicable
Why PDF Itineraries Convert Better
A beautiful PDF itinerary does several things an email cannot:
It feels real. Clients can print it, share it with travel companions, refer back to it. It transforms from "an idea we discussed" to "our trip."
It looks professional. A polished document signals that you know what you're doing—that this trip has been properly planned, not thrown together.
It simplifies decision-making. Everything in one place: the route, the experiences, the pricing, the next steps. No hunting through email threads.
It's shareable. When your client forwards to their spouse or travel companions, they're sharing a complete, branded presentation of the trip—and your company.
Whitelabel Options
We offer flexible branding for all PDF materials:
Option 1: Full Whitelabel
Your logo, your colors, your contact information. No mention of Balkan Travel Ops. The document looks entirely like it came from your company. We remain invisible to the end client.
Option 2: Co-Branded
Your logo prominently featured, with a small "Ground operations by Balkan Travel Ops" or "Local partner: Balkan Travel Ops" footnote. This can actually add credibility—showing you have professional ground support.
Option 3: Generic Neutral
Clean, professional formatting with no branding. You add your details before sending. Good for advisors who work across multiple host agencies.
What to Include in Client Itineraries
1. Opening Page
Trip title (evocative, not generic—"Croatian Coastal Discovery" not "Croatia Trip"). Travel dates. Number of travelers. One stunning hero image. Your company logo and contact.
2. Trip Overview
2-3 paragraph summary of the journey. Route map showing the progression. Key highlights in bullet format. This is the "elevator pitch" page—what they'll read first.
3. Day-by-Day Breakdown
For each day: Date and day number. Location(s). Morning/afternoon/evening activities. Accommodation name and category. Meals included (B/L/D notation). One image per day or per major destination.
4. What's Included
Clear, specific list. Accommodation (with hotel names or "4-star category"). Transfers (specify private vs shared). Activities and entrances (list each one). Meals (count them). Guide services (which days, what language). 24/7 local support.
5. What's Not Included
Equally important. International flights. Travel insurance. Meals not specified. Personal expenses. Tips (unless included). Optional activities.
6. Pricing & Terms
Per-person pricing (double occupancy). Single supplement if applicable. Deposit requirements. Payment schedule. Cancellation terms reference. Validity date for the quote.
7. Next Steps
Clear call to action. "To proceed, reply to this email confirming your interest and I'll send the booking form." Or: "This quote is valid until [date]. Let me know if you'd like to discuss any modifications."

I've also noted what's not included so there are no surprises. Take a look and let me know: 1. Does the overall flow work for you? 2. Any experiences you'd like to add or swap out? 3. Any questions before we proceed? This quote is valid through [date]. Happy to hop on a call if you'd like to walk through it together. [Your signature]
Design Best Practices
Typography
Use two fonts maximum—one for headings, one for body text. Keep body text at 10-12pt minimum for readability. Consistent hierarchy: H1 for sections, H2 for days, body for details.
Images
One hero image per major destination. Horizontal orientation works better for PDFs. Resolution: at least 150 DPI for print quality. Avoid stock photos that look generic—use authentic destination shots.
Layout
Generous white space—don't cram. Consistent margins throughout. Page breaks at logical points (not mid-day). Table of contents for itineraries over 8 pages.
Color
Use your brand colors for accents. Ensure sufficient contrast for readability. Remember: many clients will print in black and white—design should still work.
- Proofread: Client names spelled correctly, dates accurate, no placeholder text
- Images: High quality, appropriately sized, relevant to the destinations
- Pricing: Matches what you quoted verbally, validity date included
- Branding: Your logo present, correct contact info, no competing branding (unless co-branded)
- File size: Under 5MB for easy email delivery
- File name: Descriptive—"Croatia-Itinerary-Smith-June2026.pdf" not "Final_v3.pdf"
- Clickable links: If digital, ensure any links work (your website, inquiry form)
- Call to action: Clear next step on final page
